Compliant Sponsor

Would your sponsor files pass a Home Office visit tomorrow?

Compliant Sponsor is a compliance kit for UK employers with a Skilled Worker sponsor licence. It has three parts: a workbook that flags the gaps behind most revocations, a guide to the visit itself, and written procedures you can adopt today.

Instant download in Excel, Word and PDF. Includes 12 months of rule updates.

What the workbook flagged for a sample employer

Sample data. Your flags come from your own records.

  1. ACTRight to work check done 7 working days after the first day of workWorker B
  2. ACTAbsent without permission for over 10 working days – report it in SMSWorker B
  3. ACTSeptember pay below the going rate for the hours workedWorker B
  4. ACTSMS user without multi-factor log-inOffice manager
  5. CHECKVisa ends within 90 days – plan the extension and the follow-up checkWorker A
  6. CHECKLevel 2 SMS account must be converted or removed by 8 March 2027Administrator
  7. OKChange of head office address reported on timeOrganisation

Where licences are being lost

Most revocations don’t come from bad intent. They come from a handful of gaps in everyday processes, and the kit is built around them.

Nobody there to host the visit

A visit day sheet, a named host and two backups. The workbook flags any host who can’t walk an officer through your records in person – being on the phone doesn’t count.

Right to work checks done after day one

Every check is logged with its date. A check dated after the first day of work turns red, and follow-up checks are flagged before permission ends.

Changes reported late

The reporting log counts the 10 and 20 working-day deadlines for you. Unauthorised absence is tracked from day 1 and flagged as soon as it passes 10 working days and must be reported.

Pay below the April 2026 rules

Every pay period is tested against the going rate for the hours worked, and against the CoS salary over 3 months, 12 weeks or 17 weeks.

SMS access running out

Tracks multi-factor log-in, each user’s last log-in and the Level 2 deadline, so you never lose your last Level 1 User.

Records nobody can find

A worker-file checklist based on the October 2026 version of Appendix D, plus a history of each worker’s contact details.

What’s in the kit

Three files that work together. Your data stays on your own computer – nothing is uploaded anywhere.

Up to date with the 2026 changes

The rules changed several times this year. The kit was checked against the guidance on GOV.UK on 20 October 2026.

  1. Pay must cover the going rate in every pay period, with 3-month, 12-week or 17-week averaging.

  2. Multi-factor log-in becomes mandatory for SMS users, phased in to November.

  3. No new Level 2 SMS users can be added.

  4. The right to work scheme extends to some non-employee arrangements.

  5. A new version of Appendix D, the record-keeping duties, is published.

  6. Deadline to convert or remove existing Level 2 SMS users.

Who made it

Compliant Sponsor was built by an operations lead with more than six years’ experience in a large UK healthcare group, handling multiple Home Office compliance visits and leading successful compliance implementations. The kit is the system from that work, made usable for any employer.

It isn’t a law firm and the kit isn’t legal advice. For a specific problem, speak to a regulated immigration adviser or solicitor.

Questions

Is this legal advice?

No. It’s a record-keeping and self-checking kit built on the published Home Office guidance, with each rule referenced to its source. It doesn’t replace the Sponsor Management System or your duty to report through it. For a specific problem, speak to a regulated immigration adviser or solicitor.

Who is it for?

Small and medium UK employers with a Skilled Worker sponsor licence, in any sector – especially if you don’t have an in-house immigration team. The workbook has room for 200 sponsored workers.

What do we need to use it?

Microsoft Excel 2010 or later, or LibreOffice, for the workbook. Word, or any app that opens .docx files, for the procedures. A PDF reader for the guide.

Where is our data stored?

On your own computer or network. The workbook is a file you keep. Nothing is uploaded, and we never see your records.

What happens when the rules change?

We update the kit. You download the new version from the link in your Payhip receipt, free for 12 months after purchase.

Can we pay by invoice?

Yes. Email [email protected] with your organisation’s name, invoice address and any purchase order number.
